We recently upgraded to 2013 and I cannot figure out how to go into appointments to change or delete reoccurring items once they have been done.

I will set up an appointment to remind myself a project is due and I do not put an end date - so if I get the project finished it keeps coming up every day.

Please help.

Change a single appointment or meeting

  1. Open the appointment or meeting. If you open an item that is part of a recurring series, in the Open Recurring Item dialog box, click Just this one, and then click OK.

  2. On the Item Occurrence tab, change the options you want, and then click Save & Close, or for a meeting, click Send Update.

TIP : Drag the appointment or meeting to a different date on the calendar. You can also change the subject by clicking the text, and then typing your changes.

Change a recurring appointment or meeting

  1. Open the appointment or meeting. If you open an item that is part of a recurring series, in the Open Recurring Item dialog box, click The entire series, and then click OK.

  2. On the Appointment Series or Meeting Series tab, change the options you want.

  3. To change recurrence options, on the Appointment Series or Meeting Series tab, in the Options group, click Recurrence. Change the options you want, such as time, recurrence pattern, or range of recurrence, and then click OK.

  4. Click Save & Close, or for a meeting, click Send Update.

Change an event

Events differ from appointments or meetings as they are all-day items that appear as free time on your calendar. A conference or a vacation is an example of an event.

You can change an event into an appointment, by opening the event, and then unchecking the All day event box. Now, as an appointment, the time is marked as busy on your calendar. If you add attendees, your appointment becomes a meeting.

After you finish making changes, click Save & Close.

If you want to keep the event as an all-day event, but show the time as something other than free on your calendar, change Show As.

  1. Open the event on your calendar.

  2. Click Event.

  3. Change Show As to Busy, Working Elsewhere, Tentative, or Out of Office.

  4. Click Save & Close.

deleting old appointments from Outlook calendar but making a backup of them with Outlook Archive function.

  1. Open the Archive dialog box.

In Outlook 2010 and 2013, click File > Info in the left bar, and the click Cleanup Tools > Archive.

  1. In the Archive dialog box, you can:

1). Check the Archive this folder and all subfolders option;

2). Select the Calendar under a specified account that you want to delete the old appointments from;

3). Select a certain date from the Archive items older than drop down list;

4). Click the Browse button under Archive file to select a destination folder for saving the deleted items.
Note: It is optional to check the Include items with “Do not AutoArchive” checked box.

  1. Click OK button to start archiving.

  2. After finishing archiving, all the appointments which older than the date you have selected in step 2 will be automatically deleted from the Outlook calendar. And it will generate an Archive file under your specified location, then you can delete it or keep it as you need.

If you want to directly delete the old appointments and don't keep any backup, you can do as follows.

  1. Go to the calendar view by clicking Calendar in the Navigation Pane.
  2. In Outlook 2010 and 2013, please change the calendar to List view by clicking View > Change View > List.
  3. Manually click to select the old appointments and right click on them. Then click Delete from the right-clicking menu. Or you can just press the Delete key on the keyboard to delete the selected appointments.
  4. And the selected appointments older than a specific date will be removed at once.
